Terms of Service

1. Who we are

RosterPilot is a software product operated and supplied by MRS KIM'S BBQ PTY LTD (ABN 90 613 150 708), an Australian private company ("the service", "we", "us"). Our service and contact address is 136 Koornang Road, Carnegie VIC 3163, Australia. Contact: rosterpilotsupport@gmail.com.

2. Subscription

• Team-size pricing per workspace: 1–5 staff is AUD $10/month; 6–15 staff is AUD $25/month; 16–50 staff is AUD $35/month; and 51–100 staff is AUD $99/month. Contact us for teams over 100 staff. One workspace = one cafe / location.
• Prices are in AUD and Checkout shows the final amount before you confirm payment. As at 23 July 2026, the supplier is not registered for GST, so GST is not added and any invoice issued is a standard invoice rather than a tax invoice. We will update Checkout and invoice details if that tax status changes.
• 14-day free trial on signup. No card required to start.
• Billing is monthly via Stripe. Cancel any time from the workspace settings — your data stays active until end of current billing period.
• Stripe manages payment attempts under the checkout configuration. Access may be restricted after a failed or ended subscription.

3. What you get

• Weekly roster grid with manager add/edit/delete shifts.
• Staff availability and swap-request workflows.
• Clock-in/out timesheets with estimated pay based on operator-configured pay settings.
• Daily tasks (checklists, supplier orders, training quizzes, points).
• Manager announcements.
• Staff personal info storage (TFN, visa, bank, emergency contact).
• Email delivery for the workflows where email is currently enabled.
• Multi-tenant data isolation — your workspace data is separated from other operators.
• Best-effort beta support at rosterpilotsupport@gmail.com.

4. Your responsibilities

• Provide accurate workspace information (cafe name, address, ABN).
• You are responsible for the data you upload: staff names, hourly rates, TFN, bank details, shift records.
• You must comply with Australian Fair Work, Award rates, and the Privacy Act 1988 when using the service to pay or schedule staff.
• You are responsible for configuring rates and paying staff correctly. Pay figures are estimates from your settings. RosterPilot does not interpret or guarantee compliance with any Award, enterprise agreement or employment law.
• Do not upload illegal content, violate IP, or attempt to access other operators' data.

5. Service availability

• The beta is provided on a best-effort basis without an uptime service-level agreement.
• The primary Firestore database is in nam5, a United States multi-region. Some Cloud Functions run in australia-southeast1 (Sydney).
• Availability also depends on Google Firebase and Cloud, Stripe, SendGrid and OpenAI for the features that use those providers.

6. Data ownership

• You own all the data you upload (staff, shifts, timesheets, customer info).
• Payroll summary and detail CSV downloads are available for supported timesheet data. A full account-wide export is not currently self-service; contact support to ask what data can be supplied.
• Cancellation does not automatically delete workspace data. Contact support to request deletion; some records may be retained where reasonably required for billing, security, disputes or legal obligations.
• You remain responsible for keeping any employment, payroll or business records required by law.

8. Liability

• Service provided "as is" during beta. We are not liable for indirect or consequential damages (lost wages, missed shifts, payroll errors).
• The service calculates pay as a guide. You remain responsible for paying staff the correct amount under Australian Fair Work and applicable Awards.
• Maximum liability capped at amount you paid us in the previous 12 months.
• Nothing here excludes rights you have under the Australian Consumer Law.

9. Termination

• Cancel any time from workspace settings.
• We can suspend accounts that breach these terms (illegal use, abuse, non-payment).

10. Changes

We may update these terms during beta. We will publish the updated date and, where reasonably practicable, notify affected operators of material changes. Continued use after the effective date means acceptance.

11. Governing law

Governed by laws of Victoria, Australia. Disputes heard in Victorian courts.
